Capture The Information At Your Promotional Events

Your promotional events are the crowning achievement of all the hard work and planning you have put in for the months leading up to them.  When we are so focused on the upcoming event, we sometimes fail to realize the one benefit of having these promotional events: gathering the names so they can keep being made aware of your upcoming promotional events.

So many times, we are so overwhelmed in the preparation and execution of our promotional events that we forget to capture simple information, such as e-mail addresses.  Make certain that you have a clipboard and a bunch of forms ready to go.  Capture the attendee’s names, phone numbers and e-mail addresses, or if you want more people to sign up, just grab their e-mails.

The statistics don’t lie: The less fields that someone has to fill out, the more apt they are to complete a form.  E-mails are easily the best ways to get in contact with someone, and since nearly everyone is using smart phones these days, it’s also the quickest.  Many people have nightmares about cold callers and telemarketers, but spamming (which you would never do anyway) is still not considered as bad.  That doesn’t mean its ok, and most people when spammed will unsubscribe or worse, report you for sending it.

 Get yourself a quality autoresponder than can target all those that signed up for your previous promotional events. The best part about using an autoresponder is if you get a quality one, you can set it and forget it.  Just write the emails for your upcoming promotional events, and schedule when the emails should go out. Remember the rule to send more as the event draws near.  We’ll focus more on the e-mail writing in another article.

Be sure to start with a message telling the subscribers who you are and that they got on your list form attending one of your promotional events, so that they don’t immediately throw you in the spam folder.  Be sure to use the double opt in feature so that they have to confirm that it’s ok to receive e-mails from you.  You will get less people on your list, but at least you’ll know that the ones that do confirm are serious about receiving information about your upcoming promotional events.  It’s a tradeoff that’s well in your promotional events favor.
